AI Technology & Human Oversight

Brown Management utilizes proprietary artificial intelligence systems (our "AI C-Suite") to support estate administration tasks including data processing, document preparation, timeline tracking, and analytical functions. These AI systems are designed to enhance efficiency and accuracy in routine administrative work.

Human Judgment Controls All Decisions: While AI systems assist with data processing and routine tasks, all fiduciary decisions, legal determinations, and strategic guidance are made by our licensed human professionals. Every AI-generated output undergoes human review before being acted upon or communicated to clients or courts.

Three-Layer Review Process: Our quality assurance process includes (1) AI-generated draft or analysis, (2) professional staff review and refinement, and (3) licensed fiduciary approval before finalization. This approach combines technological efficiency with professional judgment and regulatory compliance.

AI Limitations: AI systems may produce errors, incomplete information, or require human correction. We continuously monitor and improve our AI systems, but they remain tools that support—not replace—human professional judgment.

Timelines, Fees & Expected Outcomes

Timeline Estimates: Our stated timeline of 12-18 months for estate administration represents a typical range based on historical performance for estates of moderate complexity. Actual timelines vary significantly based on estate size, asset complexity, creditor claims, beneficiary cooperation, court schedules, and unforeseen circumstances. Some estates may close faster; others may require additional time.

Fee Structures: Our service tiers (CORE, PREMIUM, ELITE) are designed to provide flexibility and value. Fee estimates are provided during the Fiduciary Risk & Complexity Assessment phase and are subject to court approval. Actual fees may vary based on estate complexity, required services, and time invested. All fees are disclosed transparently and require court approval before payment.

Value Ratio: Our stated 9:1 value-to-fee ratio — documented across five SVU categories represents a target based on comprehensive value delivery including time savings, tax optimization, asset preservation, and family harmony. This ratio is a goal, not a contractual commitment, and actual value delivery varies by estate circumstances.

No Outcome Commitments: While we strive for exceptional results in every engagement, we cannot provide specific outcome commitments. Estate administration involves legal processes, court decisions, third-party cooperation, and circumstances beyond our control. Our commitment is to professional excellence, transparent communication, and diligent advocacy for your interests within the bounds of law and fiduciary duty.

Fiduciary Duty & Scope of Services

As a licensed professional fiduciary, Brown Management operates under strict fiduciary duty standards requiring us to act in the best interests of the estate and its beneficiaries. This duty includes loyalty, prudence, impartiality, and full disclosure. We are bound by California Probate Code requirements and operate under court supervision.

Services Provided: Our services include estate administration, probate representation, trust administration, conservatorship services, and related fiduciary functions as authorized by court appointment or trust instrument. We coordinate with attorneys, accountants, and other professionals as needed to serve estate interests.

Geographic Scope: While we are licensed in California and primarily serve California estates, we can coordinate with out-of-state professionals for estates with multi-jurisdictional assets. Our direct fiduciary authority is limited to jurisdictions where we hold appropriate licensure or court appointment.

Court Supervision: All probate matters are supervised by the appropriate California Superior Court. Major decisions require court approval, and we file regular accountings as required by law. This court oversight provides an additional layer of protection and accountability.

Confidentiality & Privacy

We maintain strict confidentiality of all client information in accordance with professional fiduciary standards and applicable privacy laws. Estate documents, financial information, and personal data are protected through secure systems, encrypted communications, and access controls.

Information Security: Our AI systems and document management platforms employ bank-level encryption, secure cloud storage, and regular security audits. We maintain HIPAA compliance for health-related information and follow industry best practices for data protection.

Disclosure Limitations: We may be required to disclose information pursuant to court order, legal process, or regulatory investigation. Otherwise, client information remains confidential and is shared only with authorized parties (beneficiaries, courts, professional advisors) as necessary for estate administration.

Client Rights & Termination

Right to Information: Beneficiaries and interested parties have the right to receive regular updates, review estate accountings, and request information about estate administration in accordance with California Probate Code requirements.

Right to Object: Beneficiaries may object to our actions, fees, or accountings through the court process. The court provides oversight and resolution of disputes in accordance with law.

Termination of Services: Our appointment as fiduciary may be terminated by court order upon petition by interested parties. We may also petition for removal if circumstances make continued service impractical. Termination requires court approval and orderly transition to a successor fiduciary.

Complaint Process: Concerns about our services should first be directed to our office for resolution. If concerns remain unresolved, complaints may be filed with the California Professional Fiduciaries Bureau at the contact information provided above.
